Job Description Director of Operations Classification Full- Time Exempt Reports to Senior Director of Finance and Operations Job Description Primary Functions The Director of Operations supervises the Operations Team and is responsible for providing an educational atmosphere where students have the opportunity to fulfill their potential for intellectual, emotional, professional, academic and cultural growth. As a member of the leadership team, is responsible for organizing and implementing an organizational structure that will best support the faculty and meet their needs to result in students achieving academic success in accordance with Dr. Izquierdo Charter Schools. Essential Functions & Accountabilities: Student Records Maintains and updates student information in the areas of academics, personal contact info, health and emergency info, and parental permission, using state-required database and school database Ensures content of student information is accurate and is organized and filed as required by State law Collects and files student records Coordinates academic data entry by teachers for report cards Manages/tracks attendance and lateness of students Student Enrollment Manages student recruiting process including outreach and tours for parents Ensures student enrollment is at the correct student count Maintains student waiting list according to State law; receives and organizes applications Ensures new student lottery is run in compliance with law, works with Business Leader to document process followed by an impartial party (auditor/Board Member) Transmits student transfer/withdrawal paperwork to and/or from students former or current school Food Services Manages school nutrition program, including managing staff and vendor (if applicable) for breakfast, lunch, and/or snack Ensures parents fill out forms to determine Free, Reduced, or Full-Priced Status for meals and communicates percentages to Business Leader for related funding streams (Title I, E-Rate) Produces meal invoices and collects payment from parents (decide if time spent is worth it) Ensures meal distribution/tracking and oversees rotating staff members in the cafeteria with support of School Leader Ensures compliance with Department of Health standards, as it pertains to foodservice Transportation Coordinates process of late passes, bathroom passes, and any other authorized student movement within the building Manages student transportation via bus and other modes of transportation for arrival, dismissal, and field trips Ensures student transportation schedule is aligned with the school calendar Manages daily mode changes for students whose usual mode of transportation is different from usual School Programs Manages After-School Program (if applicable) Coordinates field trips with teachers and parents and makes applicable arrangements for meals (brown bag lunches) Coordinates sales of uniforms and school t-shirts (decide if the school will resell uniforms) Administers annual Parent Survey and attempts highest completion rate as possible, compiles statistics, and files all surveys Distributes Weekly Memos to parents from School Leader and/or Principal Facilities Communicates quick building needs to Facility Manager, sets up employee mailboxes, room signs, hallway passes, and emergency exit procedures Maintains a system to address facility needs (lighting, repairs in rooms, clean up of bodily fluids) Manages move-outs of or within the facility with Business Leader if applicable (furniture, books, supplies, records, technology network, computers, copy machines, other assets, phone Supports long-term planning of room use in the facility Schedules and logs fire alarms, in accordance with laws Scheduling & Planning Manages volunteers and temporary staff members; supports contingency planning for long-term (succession planning) with Business Leader Administers weekly staff communication for new information and upcoming events; maintains school calendar Competencies Mission-Focused Driven towards Excellence Relationship Builder Organized & Planned Creative Constant Learner Knowledge & Skills Ability to apply empirical principles and procedures in work performed and ability to analyze student achievement and data to draw logical conclusions and prepare comprehensive reports. Knowledge of methods and procedures, related to purchasing, operation, safety, computer networking programs, food, service, budgeting, and, accounting, electronic data processing techniques and methods of purchasing, and inventory control, systems. Knowledge of methods and techniques on strategies of organization management and supervision. Knowledge or ability to use SIS (student information systems) or online learning platforms (Schoology, Google Classroom, PowerSchool, and Canvas) Organize tasks, set priorities, and meet deadlines, manage multiple tasks Respond appropriately to evaluation and changes in the work setting Work autonomously within school established guidelines and policies Work effectively with staff, students, and public Required Education And Experience Bachelors degree Minimum 5 years in a related field as a director OR minimum 3 years as a Director of Operations Prior experience working in a Charter School or non-profit Preferred Education And Experience Masters degree preferred Bilingual Supervisory Responsibility This position supervises the Operations Team Work environment Collaborate with colleagues to continuously improve personal practice, classroom instruction, assessment, and student achievement, as well as the overall goals and mission of the school and the network Attend all professional development meetings and workshops Participate in a summertime professional development before the opening of school Fulfill all outlined and related functions professionally, timely, and thoroughly Communicate effectively with students, parents, colleagues, and other professors Physical Demands While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. This job's specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Position Type and Expected Hours of Work This position is full-time, and the hours and workdays are Monday through Friday, from 8:00 a.m. to 4:00 p.m. Some evenings on school events and during after-school activities.
